Overview
We are seeking expressions of interest from experienced Executive Assistants (APS5 / APS6 equivalent) for upcoming opportunity within a large, complex organisations operating in highly regulated environments, supporting senior executives and leadership team.
As an Executive Assistant, you will provide high-level administrative, operational and coordination support. You will play a critical role in ensuring the smooth day-to-day operation of executive offices, managing competing priorities, coordinating stakeholder engagement, and supporting business outcomes through efficient administration and organisation.
Successful candidates will demonstrate exceptional communication skills, strong attention to detail, and the ability to work confidently in dynamic and fast-paced environments. This role requires discretion, professionalism, initiative, and the ability to build effective working relationships with a wide range of stakeholders.
Skills and Experience
- Provide high-level executive support to senior leaders, managing complex priorities, commitments, and business activities.
- Act as a key liaison between executives and internal and external stakeholders, maintaining effective relationships and ensuring timely communication.
- Manage complex calendars, meetings, travel arrangements, and competing scheduling requirements, exercising sound judgement and discretion.
- Prepare and coordinate executive correspondence, briefings, reports, presentations, and other high-quality documentation.
- Coordinate executive meetings, committees, workshops, and events, including agenda preparation, secretariat support, and action tracking.
- Drive efficient executive office operations by improving processes, monitoring deliverables, and ensuring the timely completion of key actions.
Skills & Experience
- Demonstrated experience providing high-level executive support to senior executives or leadership teams within complex environments.
- Exceptional organisational skills with the ability to manage competing priorities, work autonomously, and deliver outcomes under pressure.
- Strong stakeholder management and relationship-building skills, with the ability to engage confidently across all levels of an organisation.
- Excellent written and verbal communication skills, including the preparation of executive-level correspondence, reports, briefings, and presentations.
- Proven ability to exercise sound judgement, maintain confidentiality, and proactively identify and resolve issues with minimal direction.
- Advanced proficiency in Microsoft 365 and experience using corporate systems to support executive operations, governance, and business activities.
Desirable
- Experience supporting SES, Executive Leadership Team (ELT), General Manager, Director, or equivalent executive-level positions.
- Experience providing secretariat support to executive committees, boards, or governance forums.
- Relevant qualifications in Business Administration, Executive Support, Management, or a related field.
